Editorial

Just when we thought that things were stable, Funiwe decided that she wanted to become a nurse!  So it was with regret that we bade her farewell and good luck at the end of June.  As South Africa definitely needs more nurses, we really hope that she succeeds with her studies.

July burst upon Gauteng with chilling cold that started the week before with snow in the Drakensberg.  Sadly the cold seems to be an outward reflection of the economy, which continues to struggle along.  Not so the Confederations Cup and the Rugby Tour. These two events have livened up our lives and tested all the transport solutions for delivering to and collecting from the stadia.  We are doing well and fine tuning them for next year.  I just trust that the road works will be complete in time since currently travelling is an adventure of note!

Well, we thought Wyvern (our Labbie mascot) would be in SA Guide Dogs by now, but no, she is still with us and may become a mum rather than a guide dog.

Outlook Tip: Tools > Find > Find

Ah, the idiosyncrasies of Microsoft Office!  In the other Office 2003 programs, you find "Find" in the Edit menu.  Not so in Outlook: It is under Tools.  Simple Find is Ctrl+E, Advanced is Ctrl+Shift+F.  You might remember the shortcut Ctrl+F from the other programs, but in Outlook it does a Forward instead.

Let's look at Simple Find (Ctrl+E).  A jolly useful "Find" it is too.  It adds a little bar above the e-mail pane.  Here you can type in text you want to search for, the folder in which to search (or a selection), and click "Find Now".  The list in the e-mail window filters by mail that contains the selected word or phrase.  Click "Clear" to remove the search –not the e-mails!

QuickBooks

Sadly, no specials have been announced for this month.  This doesn't mean that it is not worth getting your accounts under control however, as QuickBooks gets you on top of your business from day one.  The clear and effective graphs show you at a glance how your sales are doing; your profit and loss situation, as well as your company's net worth.  Debtors can be easily tracked and, if you add Maximizer to the mix, you can track their intentions to pay and hot list to follow up with them!

Watch this space next month, as something very exciting is on the horizon!

Green Tip

Thinking of building a house or renovating your existing one?  Then why not consider the following:

Excel Tip #67 – Help!  I Upgraded to Excel 2007 and Now I'm Lost!

Editorial

Spring is in the air again and the birds are back.  Their early morning song awakens us with the reminder that the trees will break out into leaf again.  More importantly, however, where's the food?  These birds will happily sing for their suppers!

Sales is all about singing the songs so that your customers hear their pain being addressed with solid solutions.  Then only do you walk away with your "supper".  Customer service is all about addressing openly and clearly the problem that causes the pain.  Please note that the Maximizer special is on until 25th August to upgrade your Entrepreneur version to Group and take advantage of the additional tools to market your business better and to seriously upgrade your customer service response!

Software Africa supports dotPLOT for the Soils Engineer and Engineering Geologist

dotPLOT is the superb South African program written by Winston Jones to print soil profiles, core logs and borehole logs.  It produces graphical logs to the best standards, complete with recognised geological and soil symbols, which can be overlaid.  It is designed so that you can easily record your soil profile on a Dictaphone while down the hole, have it transcribed into a text file, and feed this directly into dotPLOT for high-quality printouts.  Developments include the option to write PDF files, thus allowing output to all Windows printers, support for colour, screen preview using Acrobat Reader, and now (with dot5008) support for Windows Vista.

Outlook Tip: Tools > Find > Advanced Find

Last time we looked at Outlook's Tools > Find > Find (Ctrl+E).  Also on the Tools > Find sub-menu is Advanced Find: Ctrl+Shift+F.

Advanced Find lets you find almost anything in Outlook.  Firstly, you can choose the type of item (Messages, Contacts, Tasks, etc. or Any type of item).  Then, with the Browse button, you can select the exact folders to search, and specify subfolders if you like.

The first tab lets you specify text to search for, and where (subject, message body, etc.) and other conditions.  On the second tab, "More Choices" you can choose read/unread, items with/without attachments, importance, flags, etc.  Finally, the "Advanced" tab lets you set up your own search criteria using any Outlook fields.  What more could anyone want?

QuickBooks

QuickBooks' new add-on, Acctivate, enhances the product out of all expectations!  It allows for more users to send to and retrieve information from the accounting side of the business, so that your whole company can access what they require to do their job, without upsetting your financial people!  Fully fledged bill of materials for your manufacturing processes means that your production team can now have the entire process mapped out and monitored.  Quotes to orders are part of your sales process and Acctivate delivers them.

Green Tip

Radio 702 has a new campaign called "Flying the Flag".   Please make use of it to report all the infrastructure problems in your area so that they can be fixed.  The state of our roads is dangerous to all users; bad markings; lack of street names and lights –all these things give problems.

Want clean streets?  How about forming a team in your street to pay someone to keep the street clean if you don't want to do the cleaning yourselves?  You thereby create a job and make your street a good place to live in.

Excel Tip #68 – Printing Secrets: Print Titles

Say that you have a table in Excel that is several pages long when you print it.  How do you get the column headings to print on each page?  We've seen people laboriously format the table into individual pages, each with its own title and headings.  That makes it impossible to sort the whole table, and if you insert a new row, the whole thing has to be re-formatted.

Excel offers a much easier way to do it: Click File > Page Setup.  The last tab, "Sheet" is what we want.

"Print Titles" will let you specify rows to repeat at the top of each printed sheet (and/or columns to repeat at the left).  Click in the "Rows to repeat at the top" box.  Click in the spreadsheet in the single row (or drag over the multiple rows) that you want as a header.  Do the same for columns, if required.  The button on the right (arrowed above) will hide most of the dialog box so that you can see more of the spreadsheet (press Enter to expand the dialog again).  Click OK when done.

This option is not available in Setup from Preview: You have to use File > Page Setup.  There is, unfortunately, no option for rows at the bottom of each page: You just have to use the Page Footer.

dotPLOT and HotPlot for the Soils Engineer and Engineering Geologist

dotPLOT is the world-class South African program to create soil profiles, core logs and borehole logs.  It is a DOS program, unrivalled for speed.  However, computer users who have grown up with Windows may find a DOS program unfriendly, so Software Africa wrote a Windows front-end for dotPLOT, known as HotPlot.  It gives access to the main features of dotPLOT, while presenting a graphical user interface.  It contains a text file editor that recognises the special characters dotPLOT uses to mark text.  The program is available with dotPLOT or separately, and is very reasonably priced at present.   Read more about HotPlot here.  Please forward this newsletter to your friends in Soils and Engineering Geology.

Outlook Tip: Tools > Find > Related Messages

Here we have another nugget in Outlook's Tools > Find sub-menu: Related Messages.  To use it, first click on a message.  Then click Tools > Find > Related Messages. Outlook will search for messages that have the same Subject as the one you chose.

One warning, though: If anyone altered the subject in any way, this search will not pick up messages with the changed subject.  If in doubt, rather use Simple Find (Ctrl+E) and search for a specific keyword.

Green Tip

Pickitup scores with multiple containers!  They are now to issue a garden refuse bin with a green top, an orange Ronnie bag for paper and a clear bag for recyclables.  Look out for them coming to your doorstep - as they roll out the project from depot to depot.  They expect us to all have the facilities by the end of the year.

Excel Tip #69 – Printing Secrets: Page Setup > Sheet

Last edition we started looking at File > Page Setup,  the last tab, "Sheet".  Apart from "Print Titles" (examined last time), the are a number of other useful features:

  • Gridlines: If ticked, this tells Excel to print liens between the cells.  This makes it easier to understand a large spreadsheet, particularly when used with
  • Row and Column headings: These are the letters at the tops of columns, and the row numbers on the left of rows.  Very useful for documenting your spreadsheet.
  • Black and White and Draft quality can save ink or toner.
  • Comments: Print these to document your spreadsheet.  Put them underneath if they are large.
  • Cell Errors can be shown in various ways.
  • Page Order is useful to set for multi-page printouts.

These settings apply to the sheet, not the whole file.  Click OK when done.  The settings for Comments and Print Titles are not available in Setup from Preview: You have to use File > Page Setup.

Understanding Engineers – Take Six

Three engineering students were discussing the possible designers of the human body.

One said, "It was a mechanical engineer: Just look at all the joints."

Another said, "No, it was an electrical engineer. The nervous system has many thousands of electrical connections."
