Newsletter - January 2011

Editorial

Welcome to the first newsletter of 2011 - may everyone have a wonderful and prosperous year!  A new year offers both hope and challenges.  Some of those challenges are manifest in the dreadful floods both countrywide and worldwide.  December's and January's rains have gone well above the average in our neck of the woods.  The skies are pregnant with yet more this morning.

Changes have happened in Software Africa - Vivian Huang has joined us as a programmer, strengthening our team; whilst Khanya is on extended leave after her mother and son were badly injured in a fire during November.  We are wishing them both a full recovery and looking forward to her return.

In addition, we are now OpenDesign Partners for AutoCAD and can sell AutoCAD LT and Sketchbook Pro.  We will be looking to upgrade this partnership during the year, as we gain skills.

News on dotPLOT

The latest release of dotPLOT, 6005, does not run on 64-bit PCs (we don't know why people buy them: The only advantage seems to be that the supplier makes a lot more money). Nevertheless, dotPLOT Version 7000 is currently in Alpha testing, and it will run on a 64-bit PC.

News on HotPlot for dotPLOT

The next HotPlot will have several enhancements to make it even more user-friendly and make your staff yet more productive on dotPLOT.  It is also likely to entail a price increase.  This might be a good time to buy HotPlot, which will make you eligible for the improved version free of charge.

Software Sales Consultant

A software sales consultant is required to stimulate our QuickBooks and Maximizer sales.  Applicants must have a verifiable track record in selling software.  They should have their own vehicle and be a self starter.  We are looking for someone who will fit the Wealth Dynamics "Deal Maker" profile.  On the job training will be given and there is potential to move into selling our entire product range over time, plus to take the company to a new level.  Please send CV and proof of sales to Judith Taylor, info@softwareafrica.co.za

Green Tip

Whilst November's Green Tip is still very relevant, the extensive heavy rains have revealed other problems.  Trees are being uprooted from river banks and also along roadways. There is not much we can do about the former, but making sure that storm water drains are kept clear for water to drain away helps with the latter.  The perennial pothole problem can be cure in Joburg via https://www.potholebrigade.co.za/gallery.aspx?sms_ss=facebook&at_xt=4d3841c9f6b47789,0.  On this site you can report potholes and then track them!

Excel Tip #84 -  Excel 2007/2010: Excel Options IX (Add-Ins)

We conclude looking at the ("Hidden") Office Menu, activated by clicking the round MS Office logo at top left.  On this menu, click the "Excel Options" button at the bottom right.

Today we will look at the last option, "Resources".  This is simply a list of things you might want to do and places you might want to go, with appropriate buttons:

Editorial

January is gone and February is proving a very exciting month, already we have upgraded to Bronze partner for AutoCAD, which means that we can assist you with the full solution (and have to do some tests)!  We are now eScan resellers and are looking at a very exciting mobile solution.  It is looking increasingly like Khanya's family problems are keeping her in the Eastern Cape permanently.

News on dotPLOT, the Soil Profile and Borehole Log Program

People are now asking whether dotPLOT runs on 64-bit PCs. You certainly don't need a 64-bit machine for dotPLOT, which runs blazingly fast on even the slowest PC. In fact, the latest release of dotPLOT, Version 6005, runs on Windows Vista but not on 64-bit.

However, because of our commitment to users, Winston Jones, author of dotPLOT, has spent the past few months re-engineering dotPLOT as Version 7000 to get it to run on 64-bit. Its functionality and interface are identical to previous versions, so there's no learning curve!  We expect to release it in late March. It will not be a free upgrade.

Right now we need a few existing users to Beta test dot7000. This will require some work: We will want you to run at least 20 of your previous profiles for us on dot7000 and your current version and report back. Your reward is that you will get the 64-bit version free. If you would like to be considered for the list of Beta testers, please click here to e-mail us. Tell us if you will be using a 32- or 64-bit PC (it will run on both, and both need testing), and describe some of the soil profiles and borehole logs you have available for testing.

Excel Tip #85 -  Excel 2007/2010: Secrets of the Ribbon (I) - Living with the Ribbon

Last time we concluded looking at the ("Hidden") Office Menu, activated by clicking the round MS Office logo at top left. Today we will start looking at the Ribbon in detail.  Since it seems unlikely that Microsoft will admit that menus were better and that the Ribbon was a ghastly mistake (at least until the next fashion comes along), it looks like we are going to have to get used to it.  Here's how the ribbon looks when Excel is maximized on a wide-screen PC:

As one reduces the width of the window, less important items cleverly hide, then items stack three deep instead of two, so that progressively narrower views of the ribbon look like this:

As shown in the last picture, when the ribbon can get no narrower, whole blocks start hiding and you get an arrow button on the right (or if you click it, the left) that will bring the hidden items into view (circled in red).

Finally, the window may be made so narrow that the ribbon disappears altogether.

Two of the pictures of the ribbon show keys (letters and numbers) in blocks.  These keyboard shortcuts pop up if you press and release the Alt key, or hold it in.  If you then press the indicated letter, you can use the item concerned without needing the mouse.

If, for example, you press Alt, H, for the Home menu, the items on the Home menu each get one or two letters popping up in a Tooltip.  So you can access the Ribbon with the keyboard too.

If you find that the Ribbon takes up too much screen space when you don't need it, you can hide it: Either temporarily, or by default.  To hide the ribbon (or it show it if it is hidden), press Ctrl+F1.  This does not hide the Tabs (Home, Insert, Page Layout, etc.), just the space-consuming part underneath them.  You can redisplay the full ribbon by clicking on the tab that interests you, or Alt followed by the shortcut key of the tab.  To have the ribbon normally appear in the minimized state, right-click on the ribbon, choose ribbon settings, and Minimize.

This month we have looked at some ways you can control the ribbon.  Next time we will start looking at what you can do with it.

This is proving to be a merry March indeed with business growing.  However, the growing disaster in Japan must be touching everyone's hearts and minds.  The power of nature and then of nuclear fission have combined to create a situation that could barely be imagined in anyone but Clive Cussler's dreams.

News on dotPLOT, the Soil Profile and Borehole Log Program

The 64-bit version of dotPLOT, dot7001, which also runs on 32-bit PCs, is now in Beta testing.  We anticipate being able to announce its release in the next newsletter.

The next HotPlot (the Windows interface) is already compatible with dot7001, and has several enhancements to make it even more user-friendly and make your staff yet more productive on dotPLOT.  It is now available at an introductory price of only R1500 + VAT.  Existing users may download the improved version free of charge.  Some of the new features are:

  • Improved SET file Editor allows Layout measurements in mm as well as dots.
  • The SET file Editor is calculates the Compress Borelog Option and Borelog Suppress Options Codes for you, complete with pictures of the options.
  • The Text File Editor now has a Replace function, and a list of previous files opened.
  • HotPlot cleans up dotPLOT's temporary files after a run: Less clutter on the hard disk.

Green Tip

The heat has brought out the ants and the rain has them complaining again.  I am beginning to think they are related to farmers, as nothing seems to make them happy.  Try Ant Traps to rid yourself of them.  These solutions cause them to take the contents down into their nests and decimate the colony. Excel Tip #86 -  Excel 2007/2010: Secrets of the Ribbon (II) - What is Where in the Ribbon?

Last time we started looking at the Ribbon, Microsoft's attempt to single-handedly revitalise the software training industry, because everyone will need re-training for it.  Here's how the ribbon looks when Excel is maximized on a wide-screen PC:

The ribbon is a radical departure from the menus, with a totally different arrangement, and much more visual.  As such it may be useful for those of us (current readers obviously excepted) who can't read.  Pardon the sarcasm.  Anyway, the new menus (more accurately called tabs) are:

  • Home: This shows by default and contains the options that Microsoft thinks you are most likely to use: Cut, Copy, and various types of Paste, format painter, font selection, bold, italic and underscore, vertical and horizontal alignment, wrap and merge text, cell format (and whatever popular formats fit), conditional and other formatting, autosum, fill down, clear, sort and filter, find and replace.
  • Insert: Here you can insert pivot tables, tables, pictures, clip art, shapes, smart art, charts, hyperlinks, text boxes, header and footer, word art, a signature line (a new feature), other objects, and symbols (special characters).
  • Page Layout: Lets you add themes, modify the page layout, scale to fit, set sheet options (grid lines and headings), arrange the order and alignment of objects on the sheet.
  • Formulas: Insert any built-in function, or select it from a list. Work with Range Names (name manager, define and apply names, and use in formulas.  Formula auditing, including a new feature, watch window.  Calculation options.
  • Data: Get external data from various sources, work with connections, sort and filter (as on the Home tab), Data Tools including "Text to Columns",  "remove duplicates", and "What-If Analysis (Scenarios). Outline: Group, ungroup, and subtotals.
  • Review: Proofing: Spelling, research (new), thesaurus (new), and translate (new). Comments: add, delete, edit, show, hide, and cycle through (new). Protect sheet and workbook, share workbook, and track changes.
  • View: Workbook views: normal, page layout, page break preview, custom view and full screen. Show/hide the ruler, gridlines, headings, formula bar, etc. Zoom. Arrange windows, freeze panes, split, hide and use workspaces. Macros: macro dialog (top button), view and record (dropdown list).
  • Developer: This tab might not be displayed on your PC (it is shown using a setting in Office button > Excel Options > Popular). The options are: Code: Visual Basic, macro, record, security (an expanded version of the Macros item on the View menu). Controls (adding Form or ActiveX controls to sheets, not as user-friendly as the old toolbars). XML allows you to add or import XML maps.

Notice in various places (e.g. Paste), the typical downward-pointing triangle indicating a dropdown list, for when there is a list of options (a submenu, actually).

A big advantage of the ribbon, and one not to be sneezed at, is that the setting takes effect as you click the relevant button.  This is very similar to the InfoBox, invented by Lotus Corporation in Lotus 123 about a decade ago.  If you still want a dialog box for, for example, cell formatting, it is still there: Press Ctrl+1 and you get the old Format dialog where you can make all your settings and then click OK.
